Operations Assistant – Data Processing

About the role

The Operations Assistant (Data Processing) supports IOM’s migration programmes by handling travel‑related documentation and maintaining accurate beneficiary records. Working under the Head of Programmes and the Movement Operations Officer, the role ensures smooth processing of travel requests and secure management of sensitive data.

Key responsibilities

• Record demographic and biographic information in the MiMOSA system upon receipt of travel requests.
• Notify the Movement Operations Officer of new travel assistance requests.
• Secure, store, and account for travel documents in line with local SOPs and IOM data‑protection guidelines.
• Process exit permits in coordination with supervisors, IOM colleagues, and relevant authorities.
• Ensure timely issuance and dispatch of travel documents, from booking notifications to logistical support.
• Prepare travel‑ready documentation packages for field support teams.
• Generate reports on documentation receipt and service delivery, highlighting any issues and suggesting corrective actions.
• Report problems such as denied exit permits and provide reasons for escalations.

Required profile

• Strong attention to detail and ability to handle confidential information.
• Good organizational and coordination skills to work with multiple stakeholders.
• Ability to follow standard operating procedures and maintain accurate records.
• Effective communication skills for interaction with embassies, Resettlement Support Centers, and internal teams.

Required skills

• Proficiency with the MiMOSA data‑entry system.
• Basic computer literacy and familiarity with document‑management procedures.
