Remote Healthcare Patient Onboarding & Booking Specialist

About the role

We are looking for a Remote Healthcare Patient Onboarding & Booking Specialist to join our growing remote operations team. The role involves managing patient leads from initial inquiry through qualification, appointment scheduling, follow‑up and re‑engagement, ensuring a smooth experience for U.S. patients.

Key responsibilities

• Call new patient leads, respond quickly to inquiries and qualify prospects using approved questions.
• Book qualified patients into clinic calendars, confirm appointments and handle cancellations or no‑shows.
• Maintain detailed, accurate notes in the CRM, update lead stages and manage follow‑up tasks.
• Re‑engage older or inactive leads, recover canceled appointments and support patients through the decision process.
• Coordinate with clinic staff for additional information and appropriately escalate medical questions.

Required profile

• Fluent, near‑native English with strong phone communication skills.
• Organized, detail‑oriented, reliable and able to work independently.
• Comfortable multitasking, following structured processes and handling objections professionally.
• Willingness to accept coaching, focus on quality over call volume and pursue personal growth.

Required skills

• Experience with CRM platforms (e.g., GoHighLevel or similar).
• Web‑based phone and SMS systems.
• Email, calendar and Google Workspace tools.
• Online forms, spreadsheets and internal dashboards.
