Part‑time Administrator – Orthotics Department

About the role

This part‑time position provides comprehensive administrative support to the Orthotics Department at Grantham District Hospital. Working two days a week (Tuesday and Wednesday), the Administrator ensures a welcoming, organised, and efficient service for patients and the clinical team.

Key responsibilities

• Manage the reception area, greet patients, maintain visitor logs and ensure a clean, secure environment.
• Book, change and monitor patient appointments in line with KPIs, escalating capacity or breach risks as needed.
• Handle telephone and email enquiries professionally, responding to minor patient queries and directing complex issues.
• Process orthotic referrals via email or e‑referral on REHAPP, add new patient details and monitor referral status.
• Support external clinic administration, including school referrals, interpreter bookings, patient transport and travel expense forms.
• Arrange shipping and store management using Royal Mail, UPS and related services.

Required profile

• Excellent organisational abilities and attention to detail.
• Ability to handle confidential patient information in line with Data Security policies.
• Strong communication skills and a proactive approach to problem‑solving.

Required skills

• Proficiency with REHAPP referral system.
• Experience using Opcare reception mailboxes.
• Knowledge of ISO and internal quality‑system compliance.
• Familiarity with data security and confidentiality procedures.
